FreeAgent is built for people who run a business and do their own books, which describes most independent property managers exactly. It is deliberately approachable, and it still requires somebody to sit down and enter things.

That sitting-down is what does not happen in a busy season. Receipts accumulate, invoices go out late, and the quarter closes with a scramble that produces numbers technically correct and practically useless for deciding anything.

Connecting FreeAgent moves the entry to the moment. A supplier cost gets recorded when it is incurred, an owner invoice raised from what actually happened, and a question about the accounts answered without opening them. The books stay current because keeping them current stopped being a separate task — and for an operator who is also the bookkeeper, that is the difference between numbers you can steer by and numbers you assemble once a quarter for somebody else.

Once FreeAgent is connected, ProhostAI works with your invoices, expenses and accounts in plain language.

FreeAgent connects through OAuth, so ProhostAI never sees your password.

1. Open ProhostAI and go to Settings → Connections.
2. Search for FreeAgent and select Connect.
3. Sign in to FreeAgent and approve the permissions.
4. Ask what is outstanding to confirm the connection works.

• FreeAgent stays the system of record. Your categories and tax settings are unchanged.
• Decide how properties map to projects or categories before pushing many entries through.
• ProhostAI records transactions; it does not file your returns.
• Revoking ProhostAI in FreeAgent’s settings ends access immediately.
